Thank you for participating in the 
Rotary Club of Idyllwild’s Harvest Festival!

The Festival is a two-day event in the beautiful mountain village of Idyllwild, California. It is scheduled annually on Friday and Saturday of the Thanksgiving weekend. A Tree Lighting Ceremony and village festivities begin Saturday, immediately after the Festival, which makes the weekend a joyous occasion and a perfect opportunity to begin Holiday shopping!

The Festival is held in the gymnasium at Idyllwild School (26700 CA Hwy. 243) which will be available on Wednesday, November 22nd, between 1pm and 4pm, for vendors who wish to set-up early. We must lock and secure the facility at 4pm, but this will allow three hours of early preparation time.

On Friday, the first day of the Festival, the gymnasium will open at 6:30am, so that vendors will have 2½ hours to set up for the Festival opening. The hours open to the public will be 9am to 5pm on Friday, and 9am to 3pm on Saturday.

Vendors are encouraged to bring “easy up” collapsible pop-ups of an 8’ x 8’ size, which will serve to clearly define individual booth space. Straight legged pop-ups are preferred over slant legs, unless the legs do not exceed the 8’ x 8’ space allocation per booth. Electricity will be provided to each booth. You are welcome to decorate your booth with secured and stable lighting, signs, or decorations–remembering to bring your own lightweight hooks or other devices from which to hang display items. Please let us know if you need any special accommodations.

You will be able to leave your booths set up throughout the duration of the festival, since the Idyllwild School building security system will be activated nightly, and is further secured behind full perimeter metal fencing. This should alleviate any anxiety regarding overnight security of merchandise at the Festival.

We ask that vendors remain set up for the entire Festival, and do not tear down and pack up until 3:00pm on Saturday. Vendors will need to be packed and out of the gymnasium by 4:00pm on Saturday, as the school needs to secure the space quickly. There will be Rotarians on hand to help you load inventory and displays into your vehicles. The Christmas Lighting Ceremony begins at 4:15.
